Music for All's mission is to provide and expand positively life changing experiences through music for all. The Bands of America Honor Band will help ring in the New Year with millions of spectators around the world, and most importantly, you; their loved ones on January 1, 2009. The BOA Honor Band embodies every word of the mission statement we live with every day in the MFA office. We are ALL about to experience a week like no other - truly a once-in-a-lifetime adventure. We wanted to make this incredible experience available for loved ones to share with the students at the 120th Tournament of Roses Parade themed Hats Off to Entertainment. Airport Transportation Options

Additionally, we have surrounded ourselves with many travel professionals that are working with us through this process and will be onsite to answer any questions you have after you arrive in California. This packet should help to clarify what you need to know before starting your trip.

You will be staying at the Hyatt Regency Orange County located at 11999 Harbor Blvd in Garden Grove, California. If you are traveling with your child to Los Angeles, they will be shuttled to the Marriott Los Angeles Airport hotel from LAX. Music for All will only be providing student shuttles and only from LAX Airport. Your transportation to the Hyatt is NOT included in your package. We have enclosed an alternate airport options document to further assist you in making your arrangements.

The hotel web site is We invite you to view the web site for additional information about the property. As you probably know Disneyland, California Adventure and Downtown Disney are one mile from The Hyatt Hotel. There is no admission for Downtown Disney where there are a variety of popular restaurants and shops. Complimentary Shuttles to Disneyland are available from the Hyatt if you choose to go to the park on your own. MFA will have private coaches for our official trips to the parks as indicated later in this letter.

The Family and Fan hotel is NOT in the same proximity as the Honor Band hotel. The hotels are approximately 30 miles apart. While we are very excited to have you with us, the students have a major task to accomplish in a very concentrated period of time. We must keep the band focused on the goal. We respect your understanding on this matter. (Of course, it will be very clear to you when you see the band coming down Orange Grove Blvd!)

Your participation in the Family and Fan Package includes involvement on site in California from our MFA Travel Staff. The Travel Staff/Tour Directors are Todd Wessel, Christine Romberger, and Adam Chipman. These tour directors will be staying with you at the hotel and coordinating all of your included activities. Please feel free to ask questions to assure that you are informed.

When you arrive at the Hyatt (either Saturday or Monday), please check in at the FRONT DESK to receive your room key and breakfast vouchers. Your room and tax are covered through the package; however, a credit card will need to be presented to cover incidentals. If you have added nights onto either the 5 or 7-night MFA package, you will still need to check in at the front desk. Official check in time at the hotel is 3:00 pm. As with any hotel property, rooms might not be available until the posted check-in time. For a fee, you can request a guaranteed early check-in on your day of arrival. Specific information for this option is available on the hotel web site. Music for All has NOT picked up this cost for guaranteed early check-in for any Family and Fan participant. You will be able to check your luggage if your room is not ready upon your arrival. When you check in at the Front Desk, you may request guest rooms to be near each other. The hotel staff will make every effort to honor these requests. After checking in at the front desk, proceed to the Music for All (MFA) Registration Table to receive all tickets, vouchers and your trip itinerary. (No tickets or vouchers are in this mailing).

If you are arriving on Saturday, December 27, you have TWO days for individual pursuits. Music for All Travel Staff will be at the MFA Registration Table to assist you with ideas and suggestions in making arrangements for activities. If the Travel Staff are not at the table, they will leave a phone number of how they can be reached so you can contact them. They are there to help YOU. As you are aware, the Honor Band will officially gather at 3:00 pm at the Marriott. There are NO planned shuttles between the parent and student hotel to allow you to attend this meeting or any of the rehearsals. Please do not ask the travel staff to get you there, as they have no means to do so. However, if you have your own transportation and would like to attend the opening meeting feel free to do so, otherwise, enjoy your time in southern California until the dress rehearsal. We appreciate your understanding.

On Saturday, December 27, the MFA Registration Table will be available from 8:00 am until 8:00 pm. Should you arrive after 8:00 pm on the 27th you may pick up your additional tickets, vouchers and information packets at the MFA Registration Table between 8:00 am and noon on Sunday morning. Travel staff will be on hand to assist you with local arrangements during that time.

On Monday, December 29, MFA Travel Staff will be available from 8:00 am until 3:00 pm when the busses depart the Hyatt for the Honor Band Dress Rehearsal. Staff will return to the registration desk from 9:30 pm Ð 11:00 pm for late arrivals.

You will receive a specific departure schedule for the week regarding times, places and bus assignments for loading the coaches for transportation to/from events. Roll call will NOT be taken before the coaches depart. Throughout the week, if you are not present at the appointed time to load busses, the MFA Travel staff will assume that you made other arrangements. It will be your responsibility to be on time to load busses. Busses will depart at the scheduled time. The itinerary you receive at the MFA Registration Table will clearly indicate where and when you need to be in order to catch all MFA transportation.

Are there family members back home that can't be part of this experience? We invite them to visit throughout the week. We will post periodic reviews of the student activities along with some streaming video. You won't be able to smell the flowers of the Tournament of Roses, but it will be the next best thing to actually being there.

If your child has requested a shuttle to the airport on Saturday, January 3 they will receive specific information for their departure from the Marriott. We suggest that you plan to meet up with your child at the airport for the flight home. Again, your transportation to the airport is NOT included in your package.

If you are removing your child from MFA's care on Friday, JANUARY 2, for any reason, at any time that day, you MUST complete and submit the enclosed Student Early Departure Form and return it by fax to the MFA office by December 22. The form does not need to be used if your child is departing on Saturday the 3rd.

The Music for All office will close for the Holiday season at 5pm EST on Tuesday, December 23. We have an emergency phone number available if you need to reach an MFA staff member prior to your departure. Please respect that December 24 and 25 are our only days to spend with our families. Starting Tuesday, December 23 at 5pm EST through Saturday, January 3; call 877.643.6043 for emergencies and travel-related problems.


    • This letter has been sent to the person who booked the Family and Fan package. Since we do not have contact information on other parties in the room, we would ask you to communicate the contents of this letter to all "roommates".

    • Are you still looking for a few last minute Christmas gifts for the family? Check out our web site at for our Tournament of Roses apparel. Everyone will be wearing it in California. MFA Tournament of Roses souvenirs will also be available for purchase at the Hyatt. Souvenir times and location in the hotel will be provided on site.

    • The official photographer of all MFA events is Jolesch Photography. They will be with us in California to capture the memories of this week. Student photos in their parade uniform plus section photos and candids will be taken. More information about viewing and purchasing the photos will be given in California.

    • Have you made a plan with your child to communicate with them during the week? Please note that if students have a cell phone with them, they will be turned off during all rehearsals and events. The students will have limited time in the room at the end of each evening before mandatory bed checks and lights out. Please keep all of this in mind if you want to "touch base" with your child via phone while in California.

The theme of this year's parade is Hats off to Entertainment. And we are going to "entertain" millions of people on TV as well as those along the parade route. The BOA Honor Band will welcome in 2009 at America's premier New Year's Celebration. See you at the Hyatt where the celebration of our family and yours will begin.
